EVENT OVERVIEW

Hunter Events — one of the top ten Corporate Event Planners in San Francisco — hosted an International Corporate Conference in the Parc 55 Hilton Hotel, located in downtown San Francisco. Over 350 attendees from all corners of the globe joined together a 3-and-a-half-day conference which included an Opening Night Reception and a formal Closing Night Reception and sit-down Dinner.

COCKTAIL AND MEAL COORDINATION

As with all Corporate events planned by Hunter Events, the guests were well cared for each and every minute of the Conference. The day-long meetings were packed with so many items of business that taking much time away for lunch was not ideal. Hunter Events offered a sensible solution to this by providing catered lunch buffets during each day of the Conference. The buffet was set in the lobby, just outside of the meeting rooms, making it easy for attendees to quickly grab a delicious bite to eat. The menus for each lunch were carefully crafted and filled with items such as marinated top sirloin steaks or roasted lemon cod, as well as a variety of salads, Vegetarian and Vegan dishes. “Gourmet to Go” lunch boxes, consisting of churrasco skirt steak sandwiches or adobo chicken sandwiches, were provided for the busy working lunch meeting on Friday. Guests were also offered breakfasts, refreshments and light snacks to stay energized and focused all day.

VENUE SEARCH AND PRODUCTION

Located in downtown San Francisco, the modern Parc 55 Hotel was the perfect place to welcome and host the many International travelers who were in attendance.

The hotel offered spacious, flexible meeting rooms and a large lobby area which was perfect for hosting the Conference’s large number of exhibitors, Scientific posters and attendees outside of the main meeting room. Some attendees were asked to provide complex Scientific Abstract Posters for this Conference.  Hunter Events was able to accommodate the display of these posters on numbered easels in the hotel’s pre-function area. The attendees were able to take staggered breaks during the meetings to meet and greet the authors of the Abstract posters and explore the exhibitor booths.

For this Corporate Conference, Hunter Events set one of Parc 55 Hotel ballrooms into a well organized and functional meeting space. A stage was placed front and center with blue up-lighting to brighten the branded podium, company signage and to match the colors of the Conference. Two large video screens flanked each side of the stage and a skilled audio-visual team seamlessly deployed the productions during the meetings. The day-long meetings were packed with rapid fire speaker presentations and topics to discuss.  Therefore it was critical that every minute of each individual presentation was timed perfectly in order to cover all Speakers and items of business. The technology director and audio-visual team, under the direction of Hunter Events, worked tirelessly to keep everyone successfully on task and the meetings within their tight time constraints.

EVENT IMPACT

Guests at this Corporate Conference were able to fully experience the important topics discussed during each meeting and meet and greet session. The Client was pleased at the success of the Conference, as well as the outstanding service and event planning provided by Hunter Events.
